Full Loop CRM is operated by Full Loop CRM("we" or "us"). We provide a CRM to home-service businesses ("tenants"). For data a tenant enters about its customers and workers, the tenant decides why the data is used and we process it to provide the service.

Information we collect

  • Waitlist and sales data: name, business name, phone, email, trade, service area, form responses, and the separate SMS choices you make.
  • Tenant and team data: account identifiers, contact details, roles, permissions, business settings, onboarding records, and authentication/security events.
  • Customer and operations data: leads, customer records, addresses, estimates, bookings, schedules, invoices, payments, communications, notes, reviews, and referral records entered or generated while using the CRM.
  • Job media and location: photos, videos, attachments, and—when a tenant enables location-based field operations—device location used for worker check-in, check-out, route, or attendance records.
  • Communications: email, SMS, voice, chat content, delivery status, call metadata, and support correspondence.
  • Technical data: IP address, device/browser details, pages and features used, referral source, cookies, error diagnostics, and security logs.

HomeServiceCRM does not use a public self-service account-signup flow. Prospective customers join a waitlist or contact us, and approved tenants are provisioned through operator-assisted onboarding. We do not collect a verification selfie or precise location as part of that signup process.

How we use data

We use data to provide, secure, support, and improve the CRM; process applications and billing; deliver tenant-configured communications and automations; diagnose errors; prevent abuse; comply with law; and respond to rights requests. AI-assisted features may process the content supplied to them to draft, classify, summarize, or automate a requested workflow. They should be reviewed where the decision is important.

Consent and communications

The waitlist form presents transactional and marketing SMS choices separately and unchecked, with links to this policy and our Terms. Consent is not a condition of purchase. Reply STOP to an SMS to opt out. Every email sent through the shared platform mailer includes sender identity, a postal address, and an email-preferences or unsubscribe path; tenant-specific marketing links may also update that tenant's customer preference directly.

Sharing and sub-processors

We do not sell personal information. We disclose information to a tenant and its authorized users, to providers that operate the service, when you direct us to an integration, for a lawful business transfer, or when law or safety requires it. Our maintained sub-processor registry identifies providers, purposes, data categories, and processing locations, including Supabase, Stripe, Telnyx, Resend, Anthropic, Sentry, and Vercel.

Mobile opt-in information is not shared for third-party promotional marketing. Messaging vendors and aggregators receive only what is needed to deliver the messages you requested or consented to receive.

Security

We use HTTPS in transit, authenticated sessions, role and permission checks, tenant scoping, database access controls, encryption for configured provider secrets, audit logs, and monitoring. No internet or storage system can be guaranteed completely secure.

Retention and deletion

  • Tenant account, operational, and communications data is generally kept while the account is active and then only as needed for closure, disputes, security, backups, or legal, tax, and accounting requirements.
  • Tenant owners can export CRM data from the dashboard.
  • A tenant can submit an account-closure and deletion request from Dashboard → Settings → Tools. The request starts a reviewed closure process; it does not immediately erase shared business, billing, employee, or statutory records.
  • Tenant owners can submit a customer erasure request from the customer record. The existing workflow applies a grace period and then anonymizes personal fields while preserving required aggregate and financial records.
  • Job media and optional field-location records remain part of the operational record until deleted under tenant controls, an approved rights request, or the account-closure process. They are not signup-verification artifacts.

Your choices and rights

Depending on where you live, you may request access, correction, deletion, restriction, objection, or a portable copy, and may withdraw consent or opt out of marketing. We do not discriminate for exercising privacy rights.

End customers and workers should first contact the home-service business that collected their information. Tenant owners can use dashboard export and deletion tools. You may also contact us if the tenant cannot be reached or the request concerns HomeServiceCRM itself.

Children

The service is for businesses and is not directed to children under 18. We do not knowingly collect children's personal information through the waitlist.

Changes

We may update this policy when our product or providers change. We will update the date above and provide any notice required by contract or law.
